INFORMATION ON THE PROCESSING OF PERSONAL DATA FOR CANDIDATES
In compliance with the regulations in force, defined in relation to EU Regulation 2016/679 of April 27, 2016 on the protection of individuals with regard to the processing of personal data and the free movement of such data (general regulation on data protection) WE WORLD GVC ONLUS (hereinafter referred to as Data Controller), as data controller, informs that all data provided by candidates will be processed exclusively for purposes related to the selection and evaluation of personnel.
This information concerns the selection of candidates both for positions involving the definition of an employment contract, and in relation to applications for activities as volunteers, trainees and interns.
The Data Controller undertakes to treat the data and to keep them in the utmost confidentiality, with care and diligence, in accordance with the provisions of current regulations and in the manner described below.
1.Collection and nature of data
The data can be sent to the Data Controller in the form of a curriculum vitae (CV), by mail, email or by hand, by the persons concerned, or through qualified subjects qualified to carry out the activity of research and selection of personnel. The sending to the Data Controller of the CV, by the interested party, can be made to submit an unsolicited spontaneous application or to respond to specific announcements of research and selection of personnel.
The Holder invites candidates to provide only the common data strictly necessary to allow the evaluation of the candidate's profile and professional skills and abilities. Please do not provide data belonging to particular categories (i.e. health status, sex life, religious beliefs and political opinions). Only in the case where the application refers to protected categories of workers or to relevant aspects to verify the physical fitness of the candidate in relation to the type of activity for which the selection is in progress, such data related to particular categories may be requested and provided as they are functional to the purpose for which the data are collected. Out of these cases, any supplies of data referred to particular categories will not be used in any case in the absence of a written declaration of consent to their processing by our organization.
The Data Controller reserves the right to ask the interested party also for the identification and contact data of third parties in order to ask for references and verify specific aspects of the application. The data subject has the duty to inform these third parties about the intention to provide these contact data and to obtain the consent of these parties before communicating the data.
In particular, it should be noted that personal data may be provided not only by sending CVs and spontaneous applications but also by registering on portals managed by third party companies that the owner uses.
The data provided will be processed within the limits strictly pertinent to the obligations, tasks and purposes indicated below.
2. Purpose and legal basis of the processing
The collection and processing of personal data provided by the data subject is aimed at the performance by the Data Controller of personnel selection and evaluation activities for its organizational structure both in relation to professional positions for which a public call for applications has been formulated and in relation to research that will be carried out in the future. Legal basis of the treatment is the need to implement pre-contractual measures adopted at the request of the interested party.
3. Kind of the provision of data
The provision of personal data by the person concerned for the above mentioned purposes is optional. However, failure to provide the data will make it impossible for the Data Controller to consider the application and/or to adequately assess the professional profile of the person concerned.
4. Scope of communication and dissemination of data
The data may be accessed by persons authorized by the Data Controller, with particular reference to the staff of the Human Resources office. In the pursuit of the above mentioned purposes, the Data Controller may also have the support of the following categories of subjects, who may be appointed as Data Processors: qualified subjects who provide the company with services or services instrumental to the selection and research activities on behalf of the company and/or consultants who assist the company in various ways with particular reference to legal, tax, social security, accounting, organizational aspects; subjects and companies called to manage the electronic and/or telematic tools of the company; any other subject to whom the data must be communicated according to an express provision of law.
In this case these subjects will be appointed as Data Processors or persons authorized to the processing. The complete list of Data Processors is available upon request to the Data Processor appointed by the company for the feedback to the data subject.
Data in any case will not be disclosed.
5. Data processing modalities
The data will be processed on paper and/or by electronic and/or telematic means and, in any case, in the manner and with the appropriate instruments to ensure the security and confidentiality of the data, in accordance with the provisions of current legislation. In particular, all technical, computer, organizational, logistical and procedural security measures will be adopted, as provided for by current legislation, so that the minimum level of data protection required by law is guaranteed, allowing access only to the persons in charge of data processing by the Data Controller or the Managers appointed by the Data Controller.
6. Duration of data processing
The data acquired will be kept for a period not exceeding that necessary to pursue the above mentioned purposes.
The data relating to spontaneous applications will be stored and used for the purposes indicated above and will be deleted if, after 24 months from the submission, the person concerned has not been contacted for an initial interview.
The data received in response to specific personnel research and selection announcements, relating to candidates interviewed or assessed not immediately useful for that position, but interesting for future opportunities, will be included in a special database and will be stored for 60 months in electronic format.
